How to Add a Product Listing on Rootsy

Ready to start selling on Rootsy? Once your seller account is set up, you can add products to your store and make them available to customers across Canada.

Rootsy supports both Physical Products and Digital Products. The information required to create a listing depends on the product type.

This guide explains how to create a product listing, add product details, set prices, manage inventory, upload images, and configure relevant delivery information.

Step 1: Sign In to Your Seller Dashboard

  1. Visit www.rootsy.ca.

  2. Open the seller login page.

  3. Sign in using your registered seller credentials.

  4. From your Seller Dashboard, select Product in the navigation menu.

  5. Open the option to add or create a new product.

You will be directed to the product creation form.

Step 2: Select Your Product Type

Rootsy supports two main product types.

Physical Product

A physical product is an item that must be prepared and delivered to the buyer.

Examples include:

  • Clothing and accessories.

  • Home and living products.

  • Handmade gifts.

  • Electronics.

  • Pet accessories.

  • Artwork and physical stationery.

Physical product listings require applicable shipping information, including package dimensions and weight.

Digital Product

A digital product is an item delivered electronically rather than as a physical shipment.

Examples may include:

  • Downloadable artwork.

  • Digital templates.

  • Printable stationery.

  • Digital guides.

  • Other eligible downloadable files.

Digital products do not require physical carrier shipping.

Important: Digital products are subject to Rootsy's applicable digital-product rules and return restrictions. Follow the file and delivery requirements displayed in your seller dashboard.

Step 3: Review Product Conditions and Restrictions

The product creation form may display condition or classification options, including:

  • Not Returnable

  • Hazardous

  • Adult Use Only

  • Made in Canada

Select only the classifications that accurately apply to your product.

For example:

Not Returnable: Indicates that the product may be subject to restrictions on standard returns.

Hazardous: Identifies products that may require special safety, handling, or shipping consideration.

Adult Use Only: Identifies products subject to applicable age-related or adult-use restrictions.

Made in Canada: Identifies products for which a qualifying Canadian manufacturing-origin claim can be made.

Digital products may be automatically classified as non-returnable according to the platform's current settings.

Important: These classifications do not override applicable consumer protection rights, legal restrictions, or Rootsy's marketplace approval requirements.

Do not list prohibited products.

Step 4: Enter Your Product Name

Enter a clear and descriptive product name.

A good product name should help customers understand what you're selling.

For example:

Personalized Pet Blanket with Custom Name

Avoid misleading descriptions, excessive capitalization, unnecessary keywords, or unsupported promotional claims.

Step 5: Write Your Product Description

Use the Description field to explain the product's features and characteristics.

Where applicable, include:

  • Materials and composition.

  • Dimensions and measurements.

  • Colour and design.

  • Product features.

  • Intended use.

  • Care or maintenance instructions.

  • What's included with the purchase.

  • Important warnings or restrictions.

For physical products, include relevant dimensions and specifications to help customers understand the item's size and suitability.

For digital products, describe what the buyer will receive and any relevant file compatibility or usage requirements.

Tip: Accurate descriptions help customers make informed purchases and reduce avoidable returns and disputes.

Step 6: Select a Product Category

Choose the category that best represents the product.

Rootsy offers categories covering different types of merchandise, such as:

  • Home & Living.

  • Electronics.

  • Fashion.

  • Sports & Outdoors.

  • Beauty & Wellness.

  • Arts, Gifts & Stationery.

  • Toys & Kids.

  • Pet Supplies.

  • Other available marketplace categories.

The actual category choices may vary as Rootsy updates its catalogue.

Select the most appropriate category for each product.

Step 7: Add Search Tags and Brand Information

Search Tags

The product creation form includes search-tag fields to help describe the product.

Use relevant keywords that customers might search for.

For example, a personalized pet blanket could use:

  • Pet blanket

  • Personalized gift

  • Dog accessories

Where the form provides three search-tag fields, enter three appropriate and distinct keywords.

Brand

Enter the correct product brand where applicable.

If you sell products under your own brand, use the appropriate brand information.

Do not use another company's trademark or brand name in a misleading way.

Step 8: Set Your Product Price

Enter the product's selling price in Canadian dollars (CAD).

When setting a price, consider:

  • Product and material costs.

  • Packaging expenses.

  • Shipping arrangements.

  • Rootsy marketplace commissions.

  • Applicable payment-processing charges.

  • Other relevant business costs.

Rootsy sellers are responsible for setting accurate product prices.

Offering a Product Discount

Where available, you can configure a discount for your product.

The product form supports percentage-based discounts.

For example, a seller may apply a 10% discount to an eligible product.

Check that the displayed discounted price is correct before making the product available to customers.

Please note: Discounts on Rootsy are offered by individual sellers. Rootsy does not currently provide marketplace-wide buyer discounts.

Step 9: Enter Your Inventory Information

Rootsy's product-management form includes inventory-related fields such as:

SKU

A Stock Keeping Unit (SKU) is an internal identifier used to distinguish products and manage inventory.

Choose a consistent SKU format for your business.

GTIN

A Global Trade Item Number (GTIN) is a standardized product identifier, where applicable.

Enter the correct GTIN for products that have one.

Stock Quantity

Enter the number of units available for purchase.

Keep this quantity updated to avoid accepting orders you cannot fulfil.

Minimum Order Quantity

Where supported, enter the minimum quantity a buyer must purchase in a single order.

Lead Time

Specify the time needed to prepare a product before it is ready for fulfilment, where requested.

Accurate lead times are especially important for handmade and personalized products.

Step 10: Upload Product Images

High-quality product photographs help customers evaluate your products.

The Rootsy product creation form supports uploading multiple product images.

The current product-upload guidance allows up to five images per product, with a maximum file size of 2 MB per image.

When preparing images:

  1. Use clear, well-lit photographs.

  2. Show the actual product being offered.

  3. Include different angles where appropriate.

  4. Highlight important product features.

  5. Avoid misleading editing or unrelated images.

  6. Check that every image meets the displayed file requirements.

For digital products, use appropriate preview images while accurately describing the digital files being sold.

Do not upload images that infringe another party's intellectual property rights.

Step 11: Add Personalization Options, If Applicable

Rootsy supports personalized products.

Depending on the product configuration, sellers can provide customization fields for buyers.

Examples include:

  • A custom name or message.

  • A selected lettering style.

  • An uploaded image or logo.

Where the product form provides personalization settings:

  1. Enter the customization field name.

  2. Add clear instructions for the buyer.

  3. Select the appropriate input type.

  4. Configure available options or limits.

  5. Mark fields as required where necessary.

  6. Review the customization settings before saving.

Not all products require personalization.

Important: Check the buyer-facing product page to confirm that required fields and customization instructions display correctly.

Step 12: Enter Shipping Details for Physical Products

Physical products require accurate package information for shipping calculations and fulfilment.

Enter the applicable fields:

  • Package height.

  • Package length.

  • Package width.

  • Package weight.

  • Other shipping-related information requested by the form.

Ensure measurements reflect the package that will actually be shipped, including appropriate packaging.

Incorrect dimensions or weight may lead to inaccurate shipping rates, carrier adjustments, or fulfilment delays.

Rootsy integrates with shipping services through eShipper.

Sellers remain responsible for properly packaging and preparing their orders.

Step 13: Configure Digital Products

If you're creating a digital product:

  1. Select Digital Product as the product type.

  2. Complete the relevant product information.

  3. Add the selling price and applicable details.

  4. Upload appropriate product preview images.

  5. Follow the dashboard's digital-file requirements.

  6. Review the applicable non-returnable designation and product policies.

Digital products do not use the same physical shipping workflow as products delivered by a carrier.

Make sure buyers receive an accurate description of the digital content being purchased.

Step 14: Review Your Listing Before Saving

Before submitting your product, verify:

  • Product type is correct.

  • Product name and description are accurate.

  • Category and search tags are relevant.

  • Brand information is correct.

  • Product price and discount are accurate.

  • SKU and inventory details are complete.

  • Product images display correctly.

  • Required personalization fields are configured.

  • Physical shipping dimensions and weight are accurate, where applicable.

  • Product warnings and return conditions are correctly identified.

Review the product carefully to reduce errors and customer complaints.

Step 15: Save and Manage Your Product

After completing the required fields, use the available save or submission control in the product creation form.

Once the product has been successfully added, you can return to the Product section of your Seller Dashboard to review and manage the listing.

Available product-management options include editing, updating, and deleting listings.

Product visibility may depend on applicable marketplace review, account status, and compliance requirements.
