Setting accurate product prices and maintaining inventory information are important parts of managing your Rootsy store.
As an independent seller, you're responsible for determining your product prices, keeping stock quantities accurate, and providing the information needed to process customer orders.
This guide explains how to manage product pricing, seller discounts, stock quantities, SKUs, GTINs, minimum order quantities, and product preparation times.
1. Where Can I Manage Product Pricing and Inventory?
To access your product settings:
Visit www.rootsy.ca.
Sign in to your seller account.
Open your Seller Dashboard.
Select Product from the navigation menu.
Create a new product or open an existing listing for editing.
Locate the applicable pricing and inventory fields.
Review your information before saving any changes.
2. Setting Your Product Price
Each product listing includes pricing information.
Enter the selling price you wish to charge customers.
Rootsy operates in Canada, and product prices are displayed in Canadian dollars (CAD).
When determining your selling price, consider:
Cost of materials or purchasing the product.
Labour or production costs.
Packaging costs.
Shipping and fulfilment expenses.
Rootsy marketplace commissions.
Applicable payment-processing charges.
Other relevant business expenses.
Your product price should accurately represent the item being offered.
Important: The price paid by a customer may also include applicable shipping charges and sales taxes calculated during checkout.
3. How Seller Discounts Work
Rootsy allows individual sellers to offer discounted product pricing.
Rootsy itself does not currently offer marketplace-wide discounts to buyers.
Where the product form provides discount settings, you can enter the applicable discount information.
The seller product-entry workflow includes a percentage-based discount option.
For example, if you offer a 10% discount on a product priced at $100 CAD:
| Pricing detail | Amount |
|---|---|
| Original product price | $100.00 |
| Discount | 10% |
| Discount amount | $10.00 |
| Discounted product price | $90.00 |
This example excludes shipping charges and applicable taxes.
Before saving a discount:
Confirm the original selling price.
Enter the discount using the available controls.
Review the calculated discounted price.
Check the customer-facing product listing.
Ensure the displayed price is correct.
Only advertise discounts that are accurate and comply with applicable Canadian pricing and advertising requirements.
4. Understanding Rootsy Marketplace Commissions
Rootsy applies a marketplace commission based on your subscription plan.
| Seller plan | Commission rate |
|---|---|
| Starter | 11.99% |
| Growth | 10.99% |
| Pro | 9.99% |
Rootsy's standard marketplace commission applies to the eligible product selling amount, excluding separately charged shipping and applicable sales taxes.
Your seller earnings may also be affected by other applicable transaction charges, refunds, or adjustments.
Remember: Your product selling price and your final seller payout are not necessarily the same amount.
5. What Is an SKU?
An SKU (Stock Keeping Unit) is an identifier used to organize and track products within your inventory.
For example:
BLANKET-BLUE-001MUG-WHITE-002CANDLE-VANILLA-003
An SKU can help distinguish between different products, styles, or stock items.
When creating a product:
Locate the SKU field.
Enter the appropriate product identifier.
Check that it matches your inventory records.
Save the listing.
Using a consistent SKU system can make order processing and inventory management easier.
6. What Is a GTIN?
A GTIN (Global Trade Item Number) is a standardized identifier used to identify commercial products.
Common GTIN formats include UPC and EAN identifiers.
Some manufactured products have a GTIN assigned by the manufacturer or brand owner.
If your product has a GTIN, enter the correct identifier in the applicable field.
Do not invent a GTIN or use another product's identifier.
For handmade, custom-made, or other products without an assigned GTIN, follow the requirements displayed in the product form.
7. Managing Stock Quantity
The Stock Quantity field indicates how many units of a product are available for sale.
For example, if you have 25 units available, enter a stock quantity of 25.
Sellers should maintain accurate stock information to avoid accepting orders that cannot be fulfilled.
Update inventory when:
You receive additional stock.
Products are sold outside Rootsy.
Products become damaged or unavailable.
Inventory counts are corrected.
You discontinue a product.
Important: Do not list more units than you can reasonably supply.
8. Understanding Minimum Order Quantity
The product form includes a Minimum Order Quantity setting.
This specifies the minimum number of units a customer must purchase when the setting applies.
For example:
If the minimum order quantity is 3, a customer may be required to order at least three units of that product.
Minimum order quantities can be useful for products sold in sets, packs, or other quantity-based arrangements.
Before configuring this field:
Consider whether a minimum purchase requirement is appropriate.
Enter the correct minimum quantity.
Review how the quantity requirement appears on the buyer-facing listing.
Confirm that the setting does not conflict with your available inventory.
9. Understanding Product Lead Time
Lead Time refers to the time a seller needs to prepare a product before it is ready for shipping or fulfilment.
This is particularly important for products that require additional preparation.
Examples include:
Handmade products.
Personalized gifts.
Made-to-order products.
Products requiring special packaging.
Items requiring assembly or preparation.
For example, a seller may need two business days to prepare an item before shipping it.
Lead time is different from carrier transit time.
Preparation time + carrier transit time together contribute to the buyer's expected delivery timeline.
Enter realistic lead times and keep them updated.
10. Pricing and Inventory for Physical Products
Physical products generally require:
Accurate product pricing.
Available stock information.
Appropriate product identifiers.
Lead time, where applicable.
Package weight and dimensions.
Shipping and fulfilment information.
Accurate product and shipping details help Rootsy and its integrated shipping services calculate applicable delivery charges.
11. Pricing and Inventory for Digital Products
Rootsy also supports digital product listings.
Digital products are delivered electronically rather than through a physical shipping carrier.
Digital listings still require accurate pricing, descriptions, and other applicable information.
Follow the digital product settings displayed in your Seller Dashboard, including any file-delivery requirements and applicable return restrictions.
Physical package dimensions and carrier shipping are not required for digital delivery.
12. What Happens if My Product Becomes Out of Stock?
If you run out of inventory:
Open your Seller Dashboard.
Select Product.
Locate the affected listing.
Review the available stock-management controls.
Update the quantity or product availability as appropriate.
Save your changes.
If a customer has already purchased an item you cannot fulfil, notify Rootsy Customer Support promptly and follow the applicable order-management and cancellation procedures.
Do not assume that removing a listing automatically cancels existing orders.
13. How to Update Product Prices and Inventory
To update an existing product:
Sign in to your seller account.
Open Seller Dashboard → Product.
Locate the product you want to update.
Select the available editing option.
Change the relevant price, discount, inventory, SKU, GTIN, or lead-time fields.
Review the updated information.
Save your changes.
Check the customer-facing listing to confirm that the information displays correctly.
Price and inventory changes may be subject to applicable platform rules and existing order obligations.
