How to Add Product Variations and Personalization on Rootsy

Rootsy allows sellers to offer personalized products, giving buyers the opportunity to enter custom text, select design options, or upload images and files.

Personalization can be useful for gifts, handmade products, custom artwork, clothing, home accessories, and other eligible items.

This guide explains how to configure personalization options, provide clear instructions, and review the customer experience.

1. What Is Product Personalization?

Product personalization allows a buyer to provide information that a seller uses to customize an item.

Depending on the product, this may include:

  • Names or initials.

  • Custom messages.

  • Lettering styles.

  • Design selections.

  • Uploaded photographs or logos.

  • Other seller-defined customization details.

Not every product needs personalization.

Only enable customization when your product can be prepared according to the buyer's selections.

2. Open Your Product Listing

To configure personalization:

  1. Visit www.rootsy.ca.

  2. Sign in to your seller account.

  3. Open your Seller Dashboard.

  4. Select Product.

  5. Create a new listing or open an existing product for editing.

  6. Locate the Personalization section in the product form.

Review the available customization controls.

3. Add a Personalization Field

The product creation workflow supports multiple personalization fields.

For each available field:

  1. Enter or review the field label.

  2. Provide clear instructions explaining what the buyer should enter or select.

  3. Choose the appropriate input type, where available.

  4. Configure any relevant options or limits.

  5. Mark the field as required if the buyer must complete it.

  6. Review the field before saving the product.

Rootsy's current product configuration supports up to three personalization fields.

The first field may have a predefined label, while the other available labels may be configurable.

4. Create a Custom Text Field

A text field allows buyers to enter information such as a name, message, or initials.

For example:

Field label: Personalization

Buyer instructions: Enter your pet's name (maximum 15 characters, including spaces).

When configuring a text field:

  1. Explain precisely what the buyer should enter.

  2. State any character limit.

  3. Clarify whether spaces and punctuation are included.

  4. Indicate any formatting or capitalization requirements.

  5. Make the field required if the information is necessary to fulfil the order.

Avoid vague instructions that could cause production errors.

5. Add a Dropdown Selection

A dropdown allows buyers to choose from predefined options.

For example:

Field label: Lettering style

Available selections:

  • Classic

  • Script

  • Bold

These are illustrative examples; use the actual styles you offer.

When configuring a dropdown:

  1. Enter a descriptive field label.

  2. Add the available selections using the product form's controls.

  3. Make sure the options are clearly distinguishable.

  4. Confirm that each choice is available for production.

  5. Mark the field as required where appropriate.

Only offer selections you can fulfil.

6. Add an Image or File Upload

Some customizable products allow buyers to upload an image or logo.

For example:

Field label: Image or Logo

You can use this option for eligible products such as customized blankets, printed gifts, or personalized artwork.

When configuring a file-upload field:

  1. Enter a clear field label.

  2. Provide instructions about the image or file needed.

  3. Explain any file-quality requirements.

  4. Specify any relevant content restrictions.

  5. Mark the field as required if an upload is essential.

Tip: Ask customers to provide clear, high-quality images suitable for the intended product.

Buyers should only upload content they own or are authorized to use.

7. Understand Required and Optional Fields

Personalization fields can be designated as required or optional where supported.

Required field

The buyer must provide the requested information to complete the product configuration.

Optional field

The buyer may leave the field blank if the information is not essential.

Use required fields for details that are necessary to produce the item correctly.

For example, a personalized blanket with a printed name should generally require the customer to enter that name.

Important: Before publishing a personalized product, test the buyer-facing form to confirm that required fields are enforced correctly.

8. Review Your Personalization Setup

Before saving the product, check that:

  • All field labels are correct.

  • Instructions are clear.

  • Text limits are appropriate.

  • Dropdown options are complete.

  • File-upload instructions are accurate.

  • Required fields are properly configured.

  • The customization options match the product description.

  • You can fulfil every option offered.

Errors in personalization settings may result in customer complaints, production mistakes, or refund disputes.

9. Test the Buyer Experience

After saving the listing, open its customer-facing product page.

Review the personalization section.

For example, a personalized pet blanket may display:

  1. Personalization: A text field for the pet's name.

  2. Lettering style: A dropdown for the selected design.

  3. Image or Logo: A file-upload field.

Check that:

  • Each field appears correctly.

  • Required fields have an asterisk (*).

  • Instructions are readable.

  • Dropdown options are available.

  • File uploads can be selected.

  • Invalid or incomplete entries are handled appropriately.

  • The product can be added to the cart when properly configured.

Test the workflow before relying on it for customer orders.

10. Understanding Product Variations

Some products are available in different sizes, colours, styles, or materials.

These choices are generally referred to as product variations.

Examples include:

  • Small, medium, or large.

  • Blue, black, or white.

  • Different materials.

  • Different designs.

Where Rootsy's product form provides a supported variation control, use the available options and follow its instructions.

Please note: Personalization fields and inventory-based product variations are not necessarily the same feature.

For example, a dropdown used to select lettering style does not automatically create separate SKUs, prices, or stock quantities.

If you need distinct prices or inventory quantities for different product versions, confirm that the current product-management controls support that arrangement.

11. Pricing Personalized Products

When setting the selling price for a personalized product, consider:

  • Base product cost.

  • Labour required for customization.

  • Materials and printing costs.

  • Packaging expenses.

  • Marketplace commissions.

  • Applicable transaction costs.

Ensure your listed price accurately reflects the product and customization options offered.

Do not assume that Rootsy automatically increases the price for different personalization choices unless that functionality is available and configured.

12. Returns and Cancellations for Personalized Products

Personalized and custom-made products may have special return restrictions.

Rootsy's standard return-request window is generally 14 days from delivery, subject to product-specific conditions, applicable policies, and consumer protection rights.

Personalized products may be non-returnable for change-of-mind reasons.

However, buyers may still have rights if a product is defective, damaged, incorrect because of a seller error, unsafe, or materially different from its description.

Sellers should review personalization details carefully before beginning production.
